Smooth Vote Terms of Use
Effective date: Sep 20, 2026
1. Acceptance of Terms
These Terms of Use ("Terms") govern your access to and use of Smooth Vote (the "Service"), offered by The Parent Group Blueprint ("we," "us," or "our") on the web and as a native mobile app. By creating an account or otherwise using the Service, you agree to be bound by these Terms. If you are using the Service on behalf of a PTA/PTO or other organization, you represent that you have authority to bind that organization, and "you" refers to both you and that organization.
If you do not agree to these Terms, do not access or use the Service.
2. Description of Service
Smooth Vote is a digital election toolkit for PTA and PTO leaders and the working companion to Lisa Clarke's book Secrets to Smooth Parent Group Elections. It includes a Timeline Generator, Ballot Builder, Nomination Tracker, Bylaws Quick Reference, One-Click Election Summary, and Members & Settings, organized as a tabbed group workspace. The Service is available on the web and as a native mobile app.
We may add, modify, or remove features of the Service at any time.
3. Accounts and Registration
To use the Service, you must create an account and provide accurate, current, and complete information, including your name, email address, and group name. Each group has an owner (typically the person who creates the workspace) and may have invited members. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.
You must notify us promptly of any unauthorized use of your account. You must be at least 18 years old to create an account.
4. Purchases and Payment
Smooth Vote is offered through a one-time purchase of the Digital Election Toolkit ($29), with related products (Parent Group Governance, Smooth Books, Parent Group Connect, Meeting Minutes Powerhouse) available separately. Purchases on the standard web version are processed through Stripe checkout, including alternative Stripe payment links where offered.
In the native mobile app, in-app payment buttons are hidden in accordance with platform requirements; if you need to purchase or activate access, you will be directed to complete that on the web.
By purchasing, you authorize us (via Stripe) to charge your chosen payment method for the applicable amount. Purchases are one-time and do not automatically renew. Refunds, if any, are handled in accordance with our separate Refund Policy, where published.
5. User Content
"User Content" means the election timeline dates, ballot content, candidate names and bios, nomination statuses, notes, logos, and other information you or your group's members input into the Service. As between you and us, you retain ownership of your User Content.
You grant us a limited, non-exclusive license to host, store, process, and display your User Content solely as necessary to provide, maintain, and improve the Service. You are solely responsible for the accuracy of the User Content you enter, including ballot and candidate information, and for ensuring you have the right to input any information you provide (including group members' and candidates' names).
6. Group Workspaces
Smooth Vote uses multi-tenant group workspaces. Each subscriber creates a Group and becomes its owner; owners may invite board members, who join a private, isolated workspace. The Service uses Row-Level Security so that one group's data is kept separate from, and not visible to, other groups.
Members can see all workspace tabs except Members; only the group owner can see and manage the Members tab. Each user, regardless of role, can access and manage their own Settings. The group owner is responsible for managing who has access to the workspace and for the conduct of members they invite.
7. Intellectual Property
The Service, including its software, templates, report and ballot designs, tools, text, graphics, and the Smooth Vote name and branding, is owned by The Parent Group Blueprint and is protected by copyright, trademark, and other intellectual property laws. Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable license to access and use the Service for your group's internal, non-commercial election administration purposes.
You may not copy, modify, distribute, sell, sublicense, or reverse-engineer any part of the Service, or use our templates or tools to build a competing product.
8. Prohibited Uses
You agree not to:
Use the Service for any unlawful purpose or in violation of any applicable law or regulation
Enter fraudulent, misleading, or falsified election, ballot, or nomination information
Attempt to gain unauthorized access to another group's workspace or to any part of the Service's systems
Interfere with or disrupt the integrity or performance of the Service, including the web or mobile app
Upload viruses, malware, or other harmful code
Use the Service to harass, defame, or harm any person or organization
Resell, rent, or provide third-party access to the Service without our written consent
9. Disclaimer of Warranties
The Service is provided "as is" and "as available," without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or completely secure.
The Bylaws Quick Reference is general, plain-language guidance and does not constitute legal advice. Rules on quorum, eligibility, term limits, and floor nominations vary by organization. You are solely responsible for confirming and complying with your own group's governing documents and bylaws, and for consulting a qualified attorney if you have questions about your specific election procedures. Smooth Vote does not guarantee that any election run using the Service complies with your unit's bylaws or applicable law.
10. Limitation of Liability
To the maximum extent permitted by law, The Parent Group Blueprint and its officers, employees, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, revenue, or goodwill, arising out of or related to your use of, or inability to use, the Service — including any dispute over an election's outcome, procedure, or compliance with bylaws — even if we have been advised of the possibility of such damages.
Our total liability for any claim arising out of or relating to these Terms or the Service will not exceed the amount you paid us for the Service in the 12 months preceding the claim.
Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above limitations may not apply to you.
11. Term and Termination
These Terms remain in effect for as long as you use the Service. You may stop using the Service or close your account at any time by contacting us.
We may suspend or terminate your access to the Service if you violate these Terms, or for any other reason with reasonable notice where practicable. Upon termination, your right to use the Service ends immediately; we will handle any retained data in accordance with our Privacy Policy and its Data Retention section.
12. General Provisions
Governing law. These Terms are governed by the laws of [insert your state, e.g., New Jersey], without regard to conflict-of-law principles.
Severability. If any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect.
Entire agreement. These Terms, together with our Privacy Policy and (where applicable) Refund Policy, constitute the entire agreement between you and us regarding the Service and supersede any prior agreements.
No waiver. Our failure to enforce any right or provision of these Terms will not be considered a waiver of that right or provision.
Assignment. You may not assign these Terms without our written consent; we may assign these Terms in connection with a merger, acquisition, or sale of assets.
13. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will update the effective date at the top of this document and, where appropriate, provide additional notice (such as email or an in-app notice). Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
