The Parent group blueprint
ParentGroup Connect Privacy Policy
Effective date: Sep 20, 2026
1. Introduction
This Privacy Policy explains how The Parent Group Blueprint ("we," "us," or "our") collects, uses, shares, and protects information in connection with ParentGroup Connect (the "Service"), a membership registration, volunteer management, and engagement toolkit for PTAs, booster clubs, and other school parent organizations.
By registering, creating an account, or otherwise using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.
2. Information We Collect
Registration information (submitted by parents/guardians). When a family registers through the public registration form, we collect the parent or guardian's contact information, student name(s) and grade(s), membership tier, volunteer interests, school site, and the consent given at registration. Each registration generates a unique registration ID and is stored in the group's shared Member database. This information is entered by the parent or guardian, not by the student.
Board dashboard and history data. Board-member admins can mark dues as paid, track meeting attendance, add members manually, and view per-member history across school years. This creates additional records (such as MemberHistory) tied to each family's registration.
Volunteer data. Volunteer sign-ups are aggregated by interest or committee, along with contact details and participation stats, for use by board admins coordinating volunteers.
Group configuration data. Admins may enter their group's identity, branding colors, logo text, membership tiers, dues information, school sites, notification email, and volunteer options.
Payment information. Membership dues and premium subscription payments are processed by our third-party payment processor, Stripe. We do not collect or store your full card or bank account details — Stripe handles that directly. We receive limited billing information from Stripe, such as payment status and transaction confirmations, and Stripe webhook events are used to mark dues as paid.
Usage and technical data. We automatically collect information such as IP address, device and browser type, pages or screens visited, and timestamps, including device-level data used to support the mobile app experience (such as touch interactions, dark mode setting, and navigation state).
3. How We Use Information
We use the information we collect to:
Process family registrations and maintain the group's member roster
Enable board admins to manage dues, track meeting attendance, and view per-member history across school years
Aggregate and coordinate volunteer sign-ups by interest or committee
Apply group configuration (branding, tiers, dues, school sites) to the registration form and dashboard
Process dues payments and premium subscription payments through Stripe
Send registration notification emails to admins when a new family registers
Provide customer support and respond to inquiries
Maintain, secure, and improve the Service
Comply with legal obligations
4. How Information Is Shared
We do not sell your personal information. We share information only as follows:
Payment processing. Dues and subscription payment details are shared with Stripe to process transactions. Stripe's use of your information is governed by Stripe's own privacy policy.
Board admins within your group. Registration data, including student names and grades, volunteer information, and dues/attendance history, is accessible to the board-member admins of your group through the gated Board Dashboard. Registration itself is public (anyone can submit the form), but the roster and dashboard are restricted to authenticated admins through row-level security. We are not responsible for how the admins your group designates use or handle this data once they have access.
Service providers. We may share information with third-party vendors who help us operate the Service, such as hosting and email-delivery providers, who are only permitted to use it to perform services on our behalf.
Legal requirements. We may disclose information if required by law, or in the good-faith belief that doing so is necessary to comply with a legal obligation, protect our rights or safety, or investigate fraud.
Business transfers. If The Parent Group Blueprint is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this policy or one at least as protective.
5. Data Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit and access controls. The Board Dashboard and roster are protected by admin-gated login (BoardGate) and row-level security, so that only authenticated board admins of your group can view or manage member records, while the public registration form only allows submitting, not viewing, other families' data.
No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. Board admins are responsible for keeping their login credentials confidential.
6. Data Retention
We retain member registration data, including per-member history across school years, for as long as your group's account is active and as needed to provide the Service, since much of the value of the roster and history features comes from tracking membership over multiple years. If your group's account is closed or canceled, we retain data for a limited period before it is deleted or anonymized, unless a longer period is required by law or necessary to resolve disputes or enforce our agreements.
A parent or guardian may request deletion or correction of their family's registration data at any time, as described in Section 7.
7. Your Rights and Choices
Depending on your location, you (or, for a student's information, their parent or guardian) may have the right to:
Access the personal information we hold about you or your family
Correct inaccurate or incomplete registration information
Request deletion of your family's registration or history data
Object to or restrict certain processing of your information
Opt out of non-essential admin notification communications, where applicable
Request an export of your data (board admins can already export roster data to CSV)
To exercise any of these rights, contact us using the information in Section 11, or your group's board admin directly, since your group's admins also manage day-to-day access to your family's registration record. We will respond within a reasonable timeframe and in accordance with applicable law.
8. Children's Privacy
The Service is intended for use by adult parents, guardians, and board members — it is not directed to, and is not intended to be used directly by, children. The registration form does collect student names and grade levels, but this information is entered by a parent or guardian on the student's behalf, as part of registering their family with a school parent organization, not collected directly from the child.
We do not knowingly collect personal information directly from children under 13. If you are a parent or guardian and have questions about the student information associated with your family's registration, or would like it corrected or removed, contact us using the information in Section 11 or your group's board admin.
9. Cookies and Tracking
Our websites and the web version of the Service may use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Service is used. You can control cookies through your browser settings; disabling them may affect some functionality. The mobile app does not use browser cookies but may use comparable device-level identifiers to support core app functionality (such as session handling and navigation state).
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the effective date at the top of this policy and, where appropriate, by additional notice (such as email or an in-app notice). Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
