The Parent Group Blueprint Privacy Policy
Effective date: Sep 20, 2026
1. Introduction
This Privacy Policy explains how The Parent Group Blueprint ("we," "us," or "our") collects, uses, shares, and protects information in connection with The Parent Group Blueprint governance toolkit (the "Service"), a multi-tenant web app that helps PTA/PTO and parent organization leaders build bylaws, run compliant meetings, and track officer conduct and disclosures.
By creating an account or using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.
2. Information We Collect
Account information. When you register, we collect your name, email address, password (stored in encrypted/hashed form), and your role within your group.
Group and membership data. When you start a group, we generate a 6-character join code and collect the group's name and owner. Invited members register their own accounts and are associated with your group's roster.
Governance content you enter. The Service is built to hold what running a parent organization requires: your bylaws article responses and generated bylaws document, adoption meeting scripts, live vote tallies and auto-generated minutes, meeting agendas and action items, and other governance content. You control what you input, and it is scoped to your group.
Code of Conduct acknowledgments. We track which officers have digitally acknowledged the Parent Leadership Code of Conduct, and when.
Conflict of Interest disclosures. Officers can submit digital conflict-of-interest disclosure forms, including conditional fields specific to their situation, tracked on an annual basis per officer. This is treated as sensitive governance data (see Section 5).
Checklist and reference usage. We track progress through the Parent Leadership Checklist and which Officer Roles Reference pages you view.
Branding assets. If you customize your group's workspace, we store your logo, color choices, and tagline.
Payment information. The one-time $149 lifetime access purchase is processed by our third-party payment processor, Stripe. We do not collect or store your full card or bank account details — Stripe handles that directly. We receive limited billing information from Stripe, such as payment status and confirmation.
Usage and technical data. We automatically collect information such as IP address, device and browser type, pages visited, and timestamps, including device-level data used to support the mobile-first experience (such as safe-area layout and lazy-loaded pages).
3. How We Use Information
We use the information we collect to:
Provide, operate, and maintain the Service, including the Bylaws Builder, Adoption Meeting Guide, Meeting Procedures Assistant, Code of Conduct & Tracker, Conflict of Interest Disclosure, Parent Leadership Checklist, and Officer Roles Reference
Generate your group's bylaws document, meeting minutes, and other governance records
Track Code of Conduct acknowledgments and Conflict of Interest disclosures on a per-officer, per-year basis
Apply your custom branding (logo, colors, tagline) to your workspace and exports
Manage group membership, including join codes and the 5-member threshold for lifetime access
Process your one-time lifetime access purchase through Stripe and send the owner a welcome email upon payment
Provide customer support and respond to your requests
Maintain, secure, and improve the Service
Comply with legal obligations
4. How Information Is Shared
We do not sell your personal information. We share information only as follows:
Payment processing. Purchase details are shared with Stripe to process your group's lifetime access payment. Stripe's use of your information is governed by Stripe's own privacy policy.
Within your group. Governance content — bylaws, meeting minutes, votes, Code of Conduct acknowledgments, and Conflict of Interest disclosures — is visible to members of your group, subject to the additional restrictions described in Section 5. The Service uses row-level security so that each group's data is kept separate from other groups and is not visible to users outside your group.
Service providers. We may share information with third-party vendors who help us operate the Service, such as hosting and email-delivery providers, who are only permitted to use it to perform services on our behalf.
Legal requirements. We may disclose information if required by law, or in the good-faith belief that doing so is necessary to comply with a legal obligation, protect our rights or safety, or investigate fraud.
Business transfers. If The Parent Group Blueprint is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this policy or one at least as protective.
5. Sensitive Governance Records
Conflict of Interest Disclosures and Code of Conduct acknowledgments are more sensitive than ordinary group content, because they may reflect an officer's personal or financial relationships. We treat these records as follows:
They are entered directly by the individual officer they concern.
They are visible to the group owner and, depending on your group's configuration, to other officers who need them to fulfill governance and compliance obligations (for example, reviewing disclosures before a vote).
Officers are responsible for the accuracy and completeness of their own disclosures; we do not independently verify their content.
We do not use the content of these disclosures for any purpose beyond providing the Service (such as maintaining the annual submission tracker) unless required by law.
If you have concerns about how your disclosure or acknowledgment is being handled within your group, we encourage you to raise it with your group's owner in addition to contacting us.
6. Data Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information, including encryption of data in transit, hashed password storage, and access controls. Each group's data is separated through multi-tenant, row-level security so that one group's governance records cannot be accessed by another group.
No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials and join code confidential.
7. Data Retention
We retain your group's governance records, including bylaws, meeting minutes, Code of Conduct acknowledgments, and Conflict of Interest disclosures, for as long as your group's account is active, since annual disclosure tracking and historical minutes are part of the value of the Service. If your group's account is closed, we retain data for a limited period before it is deleted or anonymized, unless a longer period is required by law or necessary to resolve disputes or enforce our agreements.
You may request earlier deletion of your own data as described in Section 8.
8. Your Rights and Choices
Depending on your location, you may have the right to:
Access the personal information we hold about you
Correct inaccurate or incomplete information, including your own Code of Conduct acknowledgment or Conflict of Interest disclosure
Request deletion of your personal information
Object to or restrict certain processing of your information
Opt out of non-essential communications by contacting us
Export or receive a copy of your group's data (print/PDF export is already built into the Service)
To exercise any of these rights, contact us using the information in Section 12. We will respond within a reasonable timeframe and in accordance with applicable law. Please note that some governance records may also be controlled in part by your group's owner.
9. Children's Privacy
The Service is intended for use by adult parent-group officers and leaders, and is not directed to children. We do not knowingly collect personal information from children under 13 (or the applicable age of consent in your jurisdiction). If we learn that we have inadvertently collected such information, we will take steps to delete it.
10. Cookies and Tracking
Our websites and the web version of the Service may use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Service is used. You can control cookies through your browser settings; disabling them may affect some functionality of the Service.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the effective date at the top of this policy and, where appropriate, by additional notice (such as email or an in-app notice). Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
